In this issued statement VAKO (from this point on: we) explains how the client’s provided sensitive information will be handled with the upmost care. Additionally you will read which information is gathered, to what purpose we gather this information and what your rights as a customer are regarding the provided data. We advise you to keep track of the status of the issued privacy statement, as it can be affected by change at any point in time. Which personal data we process
As a result of the use of our services or the fact that you provide us with data, we process some of your personal data.
The personal data we collect on your account:
- Email addresses
- Phone numbers
- Billing- and delivery address
- KvK numbers KvK numbers (Chamber of Commerce number)
- VAT numbers
The purpose of data processing and what legal basis we have for our activities
We collect your personal data for the following purposes:
- Handling of payments
- Goods or services that have been delivered to you, as a result of the agreement we have reached with you as a client.
- To be able to contact you by telephone or email, if this makes the use of our services more successful for you.
- To be able to inform you regarding possible changes in our services.
- All the data reasonably needed regarding the (potential) agreement.
- All the data required to be collected by legal statute (especially legislation regarding the AEO)
Above mentioned purposes are based on the following legal bases:
- In most cases we process your data by utilizing the following legal base: the processing of personal data is necessary for the execution of the agreement/contract that we and the client have concluded.
- In some cases we have a legal obligation to process your data.
- Furthermore, we require your permission in advance for processing your special personal data (such as BSN/social security numbers or other special personal data).
Personal data to third parties
We do not provide your personal data to third parties and only maintain the data for executing our business. If a situation occurs where we need to provide others with privacy sensitive personal data, we will first ask permission from you/the client.
Data-retention periods
We only maintain data necessary and needed to fulfil the purposes for which the personal data is collected in the first place or if there is a legal obligation to collect and keep personal data.
How personal data is protected within our firm
VAKO is convinced that the protection of your personal data is of the upmost importance, and therefore takes the necessary precautions to prevent abuse, loss, unauthorized access, unwanted publication and unacceptable changes to the information. All collected personal data, that have been determined in writing, will be kept in a secure locked room. All digitally collected personal data will be protected by a login code and a password. No automated decision making
We will not make decisions that will have a (considerable) effect on persons based on automated processing. This is about decisions that are being made by computer programs or -systems, without a human influence in the process.
Your rights
You can make use of your rights to look into the way personal data is processed by sending an email to info@vako.com. To confirm that the request is actually made by the client, we require a copy of your identification, to go along with your request. Please blur the following aspects of your passport, in order to protect your privacy: the photo, machine readable zone (line of numbers at the bottom of the passport), passport number and your social security number. We will respond to your request as soon as possible.
The rights you can make an appeal to:
- Right of information: You have the right to know which personal data has been collected by us on your account. If you submit a request to access your personal data, we will provide you with an overview of the data we have collected.
- Right to correction: If the processed personal data is incorrect you have the right to adjust the personal data in order to rectify.
- Right of removal: If there is no purpose for us to have access to your personal data, you have the right to make a request in order to remove the personal data. We have to oblige to this request and will delete all personal data, with the exception of data that we collected as a result of a legal obligation.
- Right to transfer of data: At request, we have to hand over all personal data on your account to you or any other organisation of your choice.
- Right to protest: If there are any special personal reasons you can utilize the right to protest. Furthermore, the right of protest is applicable in cases where an organisation use s personal data for marketing purposes. If this request is deemed to be rightful, we will no longer make use of the related data.
- Right of complaint: If you have the opinion that your personal data has not been handled correctly, you can submit a complaint to the “Autoriteit Persoonsgegevens”.
- Right to limitation of processing: If you have the opinion we collected excessive amount of personal information, you have the right to make a request in order to limit the amount of data we collect about you as client.
Your rights
The cookies provided by our website are used for improvement of google analytics. We do not use cookies or similar techniques for collecting data or marketing activities.
